Terms and Conditions

These are our terms and conditions. We ask that you pay particular attention to our cancellation policies.
With most reservations made well in advance, a sudden cancellation can significantly affect us, so we need to adhere strictly to these conditions.

  • Please note that by confirming your Black Barn Retreat booking and making payment of the required deposit, you are agreeing to the terms and conditions listed hereafter.

  • All prices are quoted in NZD and include GST unless otherwise indicated.
  • Accommodation rates are charged on a per-night basis.

  • A deposit of 40% of the total is required to secure your reservation.
  • The balance remaining is due 30 days prior to check-in (see exclusions below). If you book within 30 days of arrival, full payment of the accommodation total is required.
  • If the accommodation balance is not paid 30 days before check-in, it will be charged to the credit card on file.
  • For bookings during the peak period of 15th December – 31st January, or for bookings of 21 nights or more, the remaining balance is due 60 days prior to check-in.
  • All Summerlee bookings require payment in full 60 days prior to check-in.
  • Minibar, services, and incidentals are then due within seven days of your departure, unless otherwise arranged with the Retreat Manager.
  • A valid credit card is required to secure and confirm all bookings, regardless of payment method.
  • Visa, Mastercard and Amex are accepted (Diners Club cards are currently not accepted). Please note that credit or debit cards incur a service fee of up to 2.5% (up to 3.1% for Amex) to cover banking charges. This will be automatically applied at the time of payment. If you pay in cash or by bank transfer, we do not charge a fee.
  • In the event of a refund, service fees are nonrefundable. Refunds may take up to 14 days and can only be issued to the same credit card or payment method used for the booking.
  • If invoices are not paid in full and on time, the customer will pay collection and legal fees, which may include additional fees or commissions charged by debt collection firms, as well as actual legal costs and disbursements charged on a solicitor's own customer basis. If Rush Cottage Ltd finds it necessary to sue the customer, service of any document will be deemed effective on the customer if left at the customer’s business, home, or registered address.
  • Rates are confirmed only after the booking is made.




cancellation policy


  • If you wish to cancel, you must advise us in writing as soon as possible.
  • Bookings cancelled within 30 days of arrival are not eligible for a refund.
  • Bookings cancelled between 90 and 30 days prior to arrival will be refunded, less a $250 Cancellation & Administration Fee (see Peak Season and Summerlee exclusions below).
  • Bookings cancelled more than 90 days before arrival are refunded in full.
  • For bookings during the peak period of 15th December – 31st January, or for bookings of 21 nights or more, cancellations made within 90 days of arrival will not be refunded. For bookings cancelled within 60 days of arrival, no refund will be issued.
  • You will not receive any refund if you vacate the Retreat early, or arrive on a later date than planned.
  • Our Cancellation & Administration fee applies regardless of the reason behind the cancellation.
  • Black Barn Vineyards shall not be liable for any travel changes caused by a pandemic, or any other unforeseen circumstances out of their control, such as Force Majeure.
  • We highly recommend you protect your plans with travel insurance.




POSTPONEMENT POLICY


  • If you wish to postpone your stay, you must advise us in writing as soon as possible.
  • For bookings postponed between 60 and 30 days before arrival, outside of Peak Season, we will accept one date change. This new date must be within 12 months of the original booking; after 12 months, the credit will expire.
  • For bookings postponed within 30 days of arrival, a 50% fee of the booking value applies to accept the date change.




CANCELLATION OR CHANGES BY BLACK BARN RETREATS


  • Unforeseen circumstances can arise that make a booked Retreat unavailable (for example, an Owner may need to, or may decide to, withdraw their property while undertaking urgent repairs, renovating, or marketing it for sale). If this occurs, we will try to rebook you in alternative comparable accommodation for your intended dates. If you accept a substitute property at a different nightly rate, we will invoice you or refund you the difference. If we cannot rebook you in a substitute property, we will provide you with a full refund of your accommodation charge. We will not offer any further compensation, and we do not accept any liability for any other costs or loss that you may incur.
  • Black Barn Vineyards may terminate your booking if, in our reasonable opinion, your behaviour is inappropriate, has caused or is likely to cause distress, damage, nuisance, or any form of danger to our employees, representatives or suppliers, or to any third-party property we have booked on your behalf. 




ARRIVAL AND DEPARTURE TIMES


  • Check-in is at the Black Barn Cellar Door (unless otherwise noted) between 3 pm and 5 pm on your arrival date.
  • Should you wish to arrive outside of those hours, this would need to be arranged in advance. Additional charges may incur and are subject to availability.




occupants


  • The number of people occupying the Retreat is, under no circumstances, to exceed the number of people shown on the booking confirmation, unless prior arrangements have been made directly with Black Barn Vineyards. Children and infants are included in this guest count. Penalties will be incurred if there is evidence of additional guests.
  • No functions, parties or any other form of events are allowed at Black Barn Retreats. If you wish to invite friends or visitors who are not staying at the Property, this needs approval from the Black Barn Retreats team and is considered on a case-by-case basis. If there is evidence that the property has been used for a function or party, additional charges will be incurred.
  • No pets allowed.
  • Bed configurations must be finalised 14 days out from your arrival. An additional $100 fee will be incurred for last-minute changes.
  • Use of any extra facilities at the property, including but not limited to sporting equipment, bicycles, spas, and swimming pools, is entirely at your own risk.




HOUSEKEEPING


• You are welcome to book in and pay for additional servicing via the Retreats Team in the lead up to your stay.
• A standard exit clean is included in your booking; however, you are expected to leave the property in a tidy state. Cleaning charges will be applied if necessary.




RESPONSIBILITIES OF THE GUEST


  • The Guest is responsible for the Retreat during their stay.
  • Keep the Retreat secure during your stay, and lock all doors and windows when you are not at the Property.
  • Observe quiet hours between 10 pm and 7 am each night and act as a considerate, responsible, law-abiding house guest.
  • When you arrive at the Retreat and during your stay, notify us immediately of any pre-existing damage or breakages, or any appliances or services that are not working correctly. Tell us immediately if you break or damage any part of the Retreat or its contents. Allow our staff and contractors to access the Retreat during the day for repairs or inspections.
  • Black Barn expects the Guest to take all reasonable care of the Retreat, and to leave it tidy after departure. If you haven’t already reported any breakages or damage, please do so on your departure.
  • Loss of a Retreat key or a garage remote will incur an additional charge of $50 per item.
  • Smoking, vaping, and the consumption of any illegal drugs are not permitted in Black Barn Retreats.
  • If Black Barn Vineyards finds that the retreat has not been left in a reasonable condition, it will charge the guest for the time required for additional cleaning.
  • Under no circumstances is furniture at the retreat to be moved during a stay. Should this be ignored and damage occurs, the expense will be the responsibility of the guest, as per our breakages policy below.
  • You must take reasonable care of your own health and safety and ensure that you behave safely at all times. You agree to observe any health and safety notices within the Retreat at all times and must ensure that your acts do not endanger the health and safety of any other person. This applies to all activities, including swimming pools, spa pools, tennis courts, home gyms, bikes and lawn games.
  • Children under the age of 10 must be supervised at all times by a parent or responsible adult.
  • Black Barn Vineyards accepts no responsibility for any loss/damage, or injury to guests or their property, and we recommend you arrange your own travel insurance prior to your stay.




breakages policy


  • Please note that any damage/loss caused to the property or furnishings during your stay may result in costs of repair being charged directly, either fully or partly, to you as the registered Guest.
  • If you personally arrange for an external contractor to come to the Property (for example, a chef or nanny), you are liable for any breakages or damage they may cause.



the privacy act


  • The customer authorises Rush Cottage Ltd to collect and hold personal information from any source it considers appropriate for use in determining creditworthiness, communicating promotional activities and product information, debt collection, or any other related purpose. The customer further authorises Rush Cottage Ltd to disclose personal information held by Rush Cottage Ltd for the purposes set out above to any other parties. The customer understands that Rush Cottage Ltd have the right to access and may request correction of personal information held by Rush Cottage Ltd about the customer.
